Private business systems
Your business runs on its data. Keep it in accounts you own.
We design and build the systems an SME actually runs on: a CRM, the books, the everyday workflows, and one searchable record of every client conversation. Everything is set up in your own accounts, so you get the convenience without handing your data to another company's app.
See it work
Ask your business a question
Your answers are already written down somewhere: in a chat, an email thread, a PDF in Drive, a line in the books. The trouble is that they're in five different places. Once everything is in one archive, one question finds all of them, asked in your own words, typed or spoken.
You ask
Where do we stand on the office lease?
It searches everything
- WhatsAppThe chat with the landlordThis month's rent invoice
- SignalA chat with a colleagueThe lease terms, and what ending it early would cost
- EmailA thread with the auditorA request to add the new lease to the accounts
- DriveThe tenancy agreementThe signed document itself
- BooksThe rent entriesHow each month's rent is split and recorded
You get one answer
Every point links to the message or document it came from.
A real question from our own archive, September 2026. Reworded, with names and figures removed. The answer drew on two chats, an email thread, a file in Drive and the books.
You ask
Has the client's August bank statement been booked?
It searches everything
- WhatsAppThe client's chatThe statement PDF they sent
- EmailThe bank's noticeThe e-statement alert for the same account
- BooksThe source documentsReceived, and still waiting for review
- CRMThe client's document requestsThe open request this statement answers
You get one answer
Every point links to the message or document it came from.
The kind of question we ask our own archive. Wording illustrative, no client details.
You ask
Which invoices are still unpaid, and has anyone chased them?
It searches everything
- BooksThe invoice listWhat's billed, paid, and still open
- EmailReminder threadsWhich reminders went out, and when
- WhatsAppClient chatsA client saying the payment is on its way
- CRMTasks and follow-upsWho is due to chase next
You get one answer
Every point links to the message or document it came from.
The kind of question we ask our own archive. Wording illustrative, no client details.
You ask
What did we promise the client about the annual return?
It searches everything
- TelegramThe client's chatThe date we gave them
- EmailThe filing threadWhat's still missing from their side
- CRMThe support ticketIts status, and the last update sent
- DriveThe client's folderLast year's filed return
You get one answer
Every point links to the message or document it came from.
The kind of question we ask our own archive. Wording illustrative, no client details.
Try it on your business
Ask how this would work for you
Describe what your business does and what it runs on today, and ask what we'd build. This assistant runs the way we build them for clients: an AI model in our own cloud account, answering only from this website.
Answers come from an AI model running in our own Cloudflare account, using only what's on this site. It can be wrong, so check anything important with us. We don't store your questions. Please don't include personal details. Privacy
Then tell it what to do
From a question to a finished task, without opening the CRM
The same assistant can act on what it finds: email a client, ask them for a document, set a reminder, or change any field in your records. It prepares the change; you confirm it. Ask in a chat or send a voice note from your phone.
Ask, or say it
"Remind me to file the deregistration notice on the 25th." "Email the client: payment received, one invoice still open."
It prepares
It finds the right client, record and contact, and drafts the email, the request or the change.
You confirm
You see exactly what will happen (the full email, or each field's old and new value) and tap Confirm. Until then nothing has changed.
It's done, and logged
The change is made in your own records and written to the audit log.
The confirm button sits on a page the AI can't press. If a client's message tries to talk the assistant into something, the most it can do is prepare it for you to decline.
Our own systems, as of September 2026.
Which one are you?
Four real situations, and what they cost in data
Each scenario starts with the tools most SMEs reach for, shows what you hand over by using them, and then shows the private alternative already running in our own companies.
Founder-run SMEs
The founder running a company from another country
The company is registered in one country, the founder lives in another, and staff, agents and clients are spread across a few more.
See the scenario →Accountants, lawyers and consultants
The professional firm holding other people's secrets
Clients send passports, bank statements and contracts by WhatsApp and email.
See the scenario →Founders and their families
The founder's household, where everything is mixed
Several phones, cards from banks in different countries, a handful of currencies, subscriptions nobody remembers starting, family photos going back twenty years, and company expenses paid on a personal card..
See the scenario →Trading and e-commerce SMEs
The trading company with hundreds of payments a month
Suppliers in several countries, invoices in several currencies, payments going out every day, and a bookkeeper somewhere else trying to keep up..

Systems for the company, and for you
Plenty of SMEs still run on an inbox, a few chat apps and a spreadsheet, long after they've outgrown them. We replace that with a small set of systems that share one set of records, and tidy up the founder's own setup while we're at it.
CRM and client records
Clients, deals, documents and deadlines in one place. Forms on your website write straight into it.
Books and documents
Bank statements, receipts and invoices read into your ledger, with every entry tied back to its source document.
Workflows
Onboarding checklists, reminders, payments and approvals that move on their own and flag what needs a person.
One record of every conversation
Email, WhatsApp, Signal and Telegram in one searchable archive, under retention rules you set.
Your own setup
One address book on every device, email and aliases in order, a private archive of your own records, backups that tell you when something goes missing, and every subscription you pay for in one list.
Where your data lives
Private doesn't mean no vendors
Every system uses outside services. What we change is who holds the account, who sees what, which services are allowed in, and whether you can leave.
Your accounts
Each service is opened in your company's name. We work as invited users, and you can remove us at any time.
Each person sees their part
Everyone gets their own login and only what their role needs: staff the client files, your accountant the books, an outside auditor a separate workspace. The AI assistant answers with the permissions of the person asking, and your personal mail stays yours.
Vendors picked for their terms
No ad-funded platforms. AI only through providers whose business terms say they don't train on your data. You get the full vendor list, in writing, before we build.
The exit test
Plain exports, a documented setup, and no layer of ours sitting in the middle that you'd have to keep paying for. At handover we export everything and open it with you, without us, so you know leaving works.
Built on our own companies first
We run on these systems ourselves
Everything we offer was built first for three businesses we operate: a company-services firm, a corporate advisory and an accounting practice, and for our founder's own setup.
